Once you’ve notified the owner of the lost item, they will be able to choose from 4 possible responses:
Send it to the address of my choice
Collect it on site
Abandon my item
This item does not belong to me
You’ll receive a reply by email, and a card will appear in your TO DO tab.
What to do depending on the response?
The item needs to be sent
Prepare a shipment
Go to the "TO DO" tab in your PeeK'in account
Click on the card for the item in the “Shipping” column
Prepare the parcel 📦
Place the item in the selected packaging
Click on “Print marketing message”
Insert it into the parcel
If the item is fragile (e.g. glasses, smartphone, tablet, etc.), use a parcel. First place it in a padded envelope and make sure to protect it well with offcuts
If the item is not very fragile (e.g. cuddly toys, clothes), a foam enveloppe or pouch is perfectly suitable.
Print the shipping documents
Click on the “Print shipping documents ” button
Then place it in the document holder on the packaging
For international shipments, don’t forget to add 3 copies behind the delivery note in the document holder. This will be requested during customs clearance.
Hand the parcel to the carrier
The parcel is now ready to be sent to the recipient.
Two options depending on your client’s choice:
Express shipping (FedEx...): hand the parcel to the carrier who will come on the date shown on the item card.
Economy shipping (Royal Mail): drop it off at your nearest post office or collection point.
Once the parcel is sent, click “Confirm pickup”.
The item card will disappear from your “TO DO” tab as you no longer have any actions to complete.
Track the parcel
Want to check the delivery status?
Go back to the item card via the “Lost Items” tab
Click “Track parcel”
You’ll be redirected to the carrier’s tracking page
This link is also sent to the customer so they can follow delivery themselves.
The parcel has been delivered. Great news! 🎉
Once delivered, the item card will reappear in the “Shipping – To close” column to keep you informed.
Click “Close” to finalise the management of the item.
Prepare an on-site collection
Go to the “TO DO” tab in your PeeK'in account
Click on the item card in the “Collect” column
Prepare the item for return
Retrieve the item from your stock using its Reference
Click on the “Print the proof of owner” button
Leave it ready for the designated collection day
The date and time of the collection, as well as the name (owner or representative) of the person coming to collect, are listed at the top of the item card.
Hand over the item in person
It’s collection day. The item’s owner or their representative arrives at your reception to collect their item:
Ask them to fill in the pre-prepared certificate
Hand over the item
Click “Confirm hand delivery” to close the item’s case
Well done, you’ve just made a customer happy! 👏
The owner has chosen to abandon the item
Destock an item
The owner does not wish to collect this item. The item card appears in the “Destocking” column of your TO DO tab.
There are several ways to remove it from your stock:
Individual destocking:
Click on the item card in the “Destock” column
Then click on “Destock item”
Bulk destocking:
Click “Print list” to facilitate physical removal
Then click “Destock abandoned items” to destock all items in the column at once in PeeK'in
The person notified is not the item’s owner
The client you notified is not the owner of the item. The card appears in the “Notification – To restart” column of your TO DO tab.
You have two options:
You know who the correct owner is (maybe there was confusion with another guest) and want to notify them
You don’t know who the owner is
You want to notify someone else
Change the owner's details 🕵️♀️
Click on the item card
Then click “Reset owner information”
Update the contact details (First name, Last name, Phone, Email) with those of the new person to notify
Click “Save”
Then click “Yes” to notify them
Now just wait for their response.
You don’t know who the owner is
Click on the item card
Then click “Reset owner information”
Click on “Unknown owner”
Then click “Save”
The item will now appear as having no contact information.
If the owner calls you, you’ll find the item in the “Found Items” tab.
