It sometimes happens that an owner (or representative):
🙋♂️ Shows up at the reception desk of your establishment to pick up a forgotten item without having notified you in advance
☎️ Contacts you by phone or e-mail to inform you of their forthcoming arrival.
In this case, the item may be in status:
“To be completed”
“Packing/Owner to be completed”
"Contact details to be provided"
"Owner to be notified”
"Owner unknown”
“Awaiting reply”
🧐 What do you do in this kind of situation?
The owner is face to face with you (hand over the object directly).
Find the item and check it with the owner
Go to the “Lost Items” tab
Search by “Discovery period”, “Location”...
Click on the item file, check with the owner that this is their item
🙌 You are now in possession of their item, go on to the next step.
Hand-deliver now
Click on "Other actions"
then on “Print the proof of return”.
have the owner (or authorized representative) fill it out in front of you
then hand over the item
Congratulations, you've just made someone happy 👏
Then, to update the information in PeeK'in, click on “Hand-deliver to owner”.
👉 Enter the delivery date in the “Delivered on” field.
👉 Enter the name of the person returning the item in the “delivred by” field.
Add the completed and signed proof ot return in the field provided (PDF or photo).
Please note that adding the proof is optional but highly recommended.
🚨 This feature should only be used if your customer is facing you and no return date has already been recorded.
If your customer informs you that they will be visiting you in a while, click on “Plan a return to the permises”.
Schedule a hand-delivery
Click on "Other actions"
then “Plan a return to the permises”.
Enter the item owner's name (surname, first name) and contact details (email at least) so that you can contact them later on if necessary.
Indicate the date and time they plan to show up
💡Fill in the details of the representative if the owner is unable to collect the item in person.
Click on “Save”.
The item will then change status to “Delivered” and will appear in the “Collect” column of your Todo-Board.
The date and time of collection, as well as the name (owner or authorized representative) of the person who will come to collect it, are indicated at the top of the itemt's file.
🚨Don't forget to prepare the item on D-day so that it's ready on time
🤷 If your customer doesn't show up on D-Day, click on “Notify again”.
This will allow him to:
- specify a new pick-up date 📆
- order a shipment if they can't make it 📦
- authorize you to destock it by clicking on “Abandon my item” if they no longer wishe to retrieve it 🗑️
The owner informs you that they will come and pick it up soon (plan an on-site delivery).
Find the item, check with the owner and enter contact details
Go to the “Lost Items” tab
Search by “Discovery period”, “Location”...
Click on the item's file, check with the owner that it is their item
🙌 You are now in possession of the item, proceed to the next step.
